LITIGATION ATTORNEY – ASSOCIATE
Schaefer Halleen is boutique litigation firm representing plaintiffs to resolve workplace disputes and employment discrimination matters, primarily on a contingent-fee basis. With a close-knit team of seven attorneys and five staff, we have offices in downtown Minneapolis, but we are currently working remotely due to the pandemic. The firm is seeking a civil litigation associate, preferably with experience in employment law, to join this collaborative culture. You will have a solid work ethic and problem-solving skills to deliver exceptional service to clients. You will bring excellent writing and communication skills and be comfortable in the courtroom.

Schaefer Halleen is currently seeking a Legal Administrative Assistant to provide high-level administrative support. This is not a Legal Assistant, nor is this a Paralegal. It is an Administrative Assistant in a legal setting. Our firm is an employment law firm where we give voice to victims of workplace misconduct. We apply our experience, skill and creativity toward a satisfactory resolution of each case we take.
Job Responsibilities:
Responsibilities include all administrative functions of the firm: answering phones, calendar management, scheduling travel, processing expense reports, meeting/event planning, creating or modifying business documents, managing correspondence, handling teleconference and mobile phone setups, acting as a liaison for remote access issues.
- Provide day-to-day support for the office including, preparing letters and other documents as directed by attorneys.
- Verbal and written communication skills (Client intake and communication)
- Schedule conference rooms and related services.
- Assist with organization of client documents, including management of electronic and paper files.
- Assist with closing of client files, including electronic and paper files
- Prepare, revise and proofread legal documents.
- Copy and scan documents.
- Handle client records, create files, and transfer files.
- Enter daily time records.
- Uses and understands Microsoft Office Suite and other business-specific software, document management system and matter management system.
- Uses intermediate to advanced software skills to perform work assigned.
- Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.
- Responsible for compliance with applicable firm Policies and procedures.
Candidate Characteristics:
- High School Diploma or GED required
- 2+ years of experience supporting a legal team
- Experience with electronic filing (state and federal)
- Customer service orientation, reliable, hard-working, team player, able to multi-task and prioritize workload
- Proficient at Microsoft Office Suite (Word, Excel and Outlook)
- Ability to work independently and manage their time well
- Juris experience/knowledge (a plus, not required)
- Spanish speaking (a plus, not required)

General Administrative
Provide administrative support to individual attorneys on a day-to-day, non-case-specific basis, including:
- Tasks related to Continuing Legal Education (CLE) or bar activities (e.g. course registration, others).
- Calendar and email coordination/management as requested.
- Meeting and event planning/coordination.
- Answer telephones and appropriately triage calls (including calls from potential clients).
- Expense reimbursement tracking and reporting.
Description:
Provide administrative support and entry-level paralegal responsibilities for the attorneys in the firm. Working independently with minimal supervision, perform administrative duties including creating and preparing routine materials, proofreading, verifying, and editing all materials for extreme accuracy and clarity. Utilize strong computer skills to prepare complex correspondence, reports, and forms. Use discretion and judgment when screening visitors and telephone calls, schedule appointments and travel (as required), and organize workload to meet established priorities. Handle confidential information professionally and consistent with legal and ethical policies and practices.
Requirements:
Case-Based Administrative and Paralegal Support
Provide administrative support to attorneys working on assigned cases, including:
- Document preparation (e.g. correspondence, pleadings, discovery requests and responses, EEOC charges).
- Document production (to include Bates stamping).
- Coordinate case correspondence to include generating, sending and tracking no-representation letters to rejected potential clients and client engagement letters to new clients.
- Maintain and update Firm active and potential client/investigative case lists.
- Generate retainer agreements and receive, process and track signed retainer agreements.
- Circulate, conduct and track conflict checks on new potential clients.
- Keep cases organized by establishing, organizing and maintaining filing systems, to include Active File (redrope file), case-specific electronic files, and other paper files.
- Communicate with attorneys and other support staff regarding status of assigned case tasks and priorities, ensuring all are executed within appropriate timeframes/deadlines. Coordinate case update meetings as requested.
- Execute court filings.
- Schedule and manage calendar events, to include calendaring statute of limitations deadlines for current and potential clients (at the direction of attorneys).
- Enter and track deadlines on the firm’s calendar.
- Assist with client communication as needed.
- Perform research to support attorneys as appropriate.
- Classify, sort, distribute and/or file all correspondence, records, media clips and other documents.
- Make copies of materials and organize documents as needed
- Other tasks as needed/requested.
